USB-C hubs: the BYOD secret weapon addition that can solve your meeting room problem!
BYOD stands for Bring Your Own Device. In meeting rooms, that means the room itself needs a laptop or PC connected to it to actually run the conferencing software, while the room’s own hardware supplies the AV side — camera, speakers, microphone. That’s the same category our meeting room hardware guide breaks down in more detail. A speakerphone works on that exact same logic: you connect a laptop, PC, desk phone, or mobile to it, and the speakerphone hands back the audio side — speaker and microphone. That’s the whole idea of BYOD: walk into a meeting room and connect your own laptop to the room’s screen, camera, and microphones, instead of relying on a dedicated room PC. Easier, since people like using their own devices anyway, right?
It’s one of the most common setups in modern offices, and it’s staying that way, regardless of how far complete room solutions have come — walk in, tap a button, join the meeting, and you could leave the laptop at your desk entirely. But almost nobody talks enough about the actual piece of hardware that can turn a BYOD setup into something genuinely excellent, arguably better in daily use than a full room solution in plenty of people’s opinion: a small box we like to call a hub, which can make a room run smoothly, or turn it into a daily headache.
A visit that started this whole train of thought!
This started last year, when someone from a very large governmental entity came to visit our experience centre. They already had some solutions in place — a few BYOD video bars from Logitech, some interactive panels, possibly a Microsoft Surface Hub. But the real problem wasn’t the video bar or the panel at all. It was the cable management. HDMI to the display, then a separate USB cable to the video solution, and on top of that, he pointed out something that stuck with us: even after all of that, a visitor or a team member would still eventually need to plug their laptop in separately just to charge it, especially in a longer meeting — and that’s assuming the laptop wasn’t already low on battery walking in the door.
Where the actual answer came from?
Brainstorming started in that session and after it, I kept thinking about this for days and weeks too. Then, weeks later, it clicked — and it came from a completely unexpected direction. We were sitting in an in-depth, under-NDA training session with Jabra‘s presales manager, walking us through what was coming: the PanaCast 55, and the expansion into multi-camera setups using Huddly cameras to build out the PanaCast Room Kit and Room Kit Multi. Genuinely exciting stuff, and we’ll get into that properly in its own piece later.
But in that same session, almost as an aside, he brought up hubs — and specifically recommended the Lenovo ThinkPad Universal Dock. And that recommendation is what actually mattered here. Most USB-C docks and hubs on the market — the ones from Poly, HP, Logitech, Dell, and plenty of others — build the laptop-facing cable directly into the dock itself. It’s molded in, permanent, part of the unit. Lenovo‘s Universal Dock does something different: the cable connecting to the laptop is a completely separate USB-C-to-USB-C cable, not physically attached to the dock at all. The dock itself is just a block, sitting there with every port a room could need, and a cable running from it to whatever laptop plugs in that day.
That distinction sounds small. It isn’t. And the second it clicked, it was obvious: this solves that exact problem, literally. One cable handling screen sharing reliably, giving access to the room’s video system, and charging the laptop — all at once, all through a connection that isn’t glued to a single fixed point the way most competing hubs are.
All IT managers and AV consultants know the features of the hubs and docks, but because of how much the conversation around complete MTR and ZR systems dominates the room — the same shift covered in our Cisco/Webex MTR strategy piece — we often miss how genuinely brilliant this actually is — to the point that such a simple solution can fly completely over our heads while it quietly solves a genuinely complex problem for the customer, or for our own internal customers as the IT team.
Why does the cable actually being detachable matter this much?
Because a captive, built-in cable has a fixed length, a fixed connector orientation, and exactly one way of reaching the table. If someone’s seat is slightly too far away, or the cable’s angle doesn’t sit right, that’s the room’s problem now, permanently, until someone replaces the whole unit. A genuinely separate cable can be swapped for a longer one, replaced cheaply if it wears out from being plugged and unplugged dozens of times a day, and run through the table in whatever configuration actually suits the room. For a government entity, a corporate boardroom, or any space where visitors are constantly rotating through with different laptops, different bag setups, and different seating habits, that flexibility is the whole difference between a cable that works and a cable that becomes the thing IT gets called about every week.
What does the wider hub and dock market actually look like?
Most of the big AV names in this series have their own version of this idea, and almost all of them use the fixed-cable approach. HP Poly bundles its Studio R30 video bar with the HP USB-C Dock G5 as a complete BYOD kit — one USB-C cable, but the dock’s own laptop-facing cable is fixed to the unit. Logitech‘s Extend does something similar for its Rally Bar family: a single USB-C cable delivering up to 100W of charging alongside video and audio, marketed explicitly as “no need for multiple cables, adapters, or dongles” — genuinely well-engineered, but again, one fixed cable, not a swappable one. Belkin, ORICO, and a long list of generic dock manufacturers follow the same pattern for general office use, not even purpose-built for meeting rooms. Lenovo‘s own Universal Dock and Universal Thunderbolt 4 Dock stand out specifically because the connecting cable is genuinely independent hardware — and Lenovo backs that dock with serious specs regardless: up to 100W power delivery, support for as many as four 4K displays, and a hybrid design that works across both USB-C and Thunderbolt hosts.
Why doesn’t a wireless solution like Barco just solve this instead?
Because wireless screen-sharing and charging are two completely different problems, and no dongle solves both. Barco‘s ClickShare, MAXHUB‘s wireless dongle, and Mago‘s Essential — all covered elsewhere in this series — solve screen mirroring beautifully: no cable, no drivers, tap and go. None of them charge the laptop doing the sharing. A visitor whose laptop is already at 20% walking into a two-hour meeting is in exactly the same position whether the room has a brilliant wireless dongle or no dongle at all — the battery keeps draining either way. That’s precisely the gap a genuinely well-built USB-C hub closes that a wireless dongle structurally cannot: one physical connection doing three jobs at once, screen sharing, video system access, and real power delivery, which a wireless signal simply has no way to replicate.
So what’s the actual lesson here?
BYOD can absolutely still work — but not the way most OEMs seem to assume it works when they design these kits. Bundling a video bar with any dock and calling it “BYOD-ready” misses the detail that actually determines whether the room gets used without complaints six months later: whether that connecting cable is a permanent, fixed part of the hardware, or a separate, replaceable piece doing exactly the job it needs to do and nothing more. It’s a small, unglamorous detail. It’s also, as it turned out, exactly the answer that one visit to our experience centre had been missing all along.
